AUB Graduation 2024

Since 2015, we have had the honor of organising the champagne reception for the prestigious Arts University Bournemouth graduation event. This event caters to over 4,000 guests and takes place at the stunning Bournemouth Beach.

With no local venues able to accommodate 4,000 guests while showcasing the stunning sea views, we had to rethink our approach. Our solution was to host the event in a temporary marquee structure on Bournemouth Beach.

Our Approach:

1. Strategic Planning:

   • Opted for a 50m x 25m marquee on the beach to provide the perfect setting for the event.

2. Comprehensive Event Management:

   • Developed detailed event management plans.

   • Attended Safety Advisory Group (SAG) meetings.

   • Coordinated supplier risk assessments and insurance documentation.

   • Conducted on-site council meetings to ensure health and safety compliance.

3. Logistics and Coordination:

   • Managed vehicular access limited to 6am-9am and 6pm-6:45pm across a public thoroughfare.

   • Created a meticulous build schedule, including installation and deconstruction timelines.

4. Event Production:

   • Oversaw marquee installation, event furniture setup, generator and power distribution.

   • Arranged temporary toilets, fencing, refrigerated vehicles, and staffing.

   • Led a dedicated team of 30 event crew members to ensure smooth execution.

Outcome: Despite the logistical challenges, our strategic planning and comprehensive management resulted in a successful and memorable graduation event. The temporary structure not only accommodated the large number of guests but also provided breathtaking sea views, enhancing the overall experience.
